Class Policies
Attendance and Make-Up Classes
At Side Quest MMA, every class is part of your journey. Consistency builds skill, confidence, and progress – so showing up matters.
Students are expected to attend class regularly and arrive on time. Each session builds on the last, and consistent attendance is key to progressing in Muay Thai, Brazilian Jiu-Jitsu, and Judo.
For our youth members, if a student misses school for any reason (illness, family emergency, etc.) they should not attend class that same day. Rest, recover, and return ready to train. Likewise, if a student attends school, they are expected to attend their scheduled class unless they are ill or have a pre-approved absence.
If you are feeling sick, please stay home. This helps protect your teammates and keeps our academy strong.
If a student is unable to physically participate due to injury, they are required to attend class and observe. Watching class helps students continue learning techniques, strategy, and class structure. Students should not train if they have a doctor-restricted injury, a condition that could worsen with physical activity, or an injury that would put training partners at risk. Students are still expected to come on time and prepared for class. Students may return to full participation when cleared by a medical professional (if applicable) and approved by a coach.
Arriving late happens, but please try your best to be on time so you do not miss important warm-ups and instruction.
Progress comes from dedication. The more consistent you are, the faster you’ll grow in your skill and confidence.
Schedule Conflicts (Youth MMA):
Attendance is essential for student progress and class structure. This is not a drop in program. Our Youth MMA program is structured for long-term development and requires a reliable commitment to scheduled training times.
Parents/guardians must review the full class schedule prior to enrollment. By enrolling, you confirm that your child can attend classes consistently. Enrollment secures a dedicated spot in class and is based on consistent participation. Students are expected to attend regularly – this program is not designed for occasional attendance. Frequent absences due to outside commitments may impact your child’s progress and the overall class environment. Continued inconsistency may result in a review of enrollment status.
If a student will miss class, parents must notify the academy in advance through the designated communication channel.
Make-Up Classes (Youth MMA):
Any missed Youth MMA class must be made up by attending an adult class. Eligible adult classes include Brazilian Jiu-Jitsu, Muay Thai, and Judo. Make-up classes should be completed within the same week of the missed session whenever possible. It is the student’s and parent’s responsibility to schedule and attend the make-up class. Parents must notify the academy via the excusal form on the school’s website when a class is missed and when the make-up class will be completed.
Teens in the adult class are expected to be a participant in the adult class. They will follow all adult class rules and etiquette, train with focus and maturity, and show respect to instructors and training partners. If a student (age 8-12) is unable to attend their scheduled class. they are required to complete a make-up session as an observer. Students must arrive on time and stay for the full class, come dressed appropriately for training, watch attentively and remain respectful at all times, and take notes during class to reinforce learning.
Make-up classes are intended to replace missed training, not to be used as additional or bonus classes. Repeated absences without completing make-ups may impact a student’s progeress and standing in the program.
Dress Code
Proper gear keeps all athletes safe, comfortable, and ready to train. All students are expected to follow the dress code for their class.
For Brazilian Jiu-Jitsu and Judo, a gi (uniform) is required for all gi classes. Belts must be tied and worn properly, A rash guard or athletic shirt must be worn under the gi top. Gi’s must be clean, dry, and in good condition. No shoes or socks are allowed on the mats. Fingernails and toenails must be trimmed.
For Muay Thai, it is recommended that you wear Muay Thai shorts. Athletic wear (shorts, tight fitting shirt, or tank top) is also permitted. No lose or baggy clothing. Boxing gloves, shin guards, and mouthpieces are required for class. No shoes or socks are allowed on the mats. Fingernails and toenails must be trimmed.
For our little warriors, gi’s are required for Brazilian Jiu-Jitsu and athletic wear is required for Muay Thai.
All gear must be clean, odor-free, and in good condition.
Remove any jewelry before training.
Please maintain good personal hygiene.
Conduct
At Side Quest MMA, we are building more than strong athletes – we are building a strong community. Every student, parent, coach, and guest is expected to help create a positive, respectful, and safe training environment.
1. Respect your teammates
Treat coaches, teammates, staff, parents, and guests with kindness and respect at all times. Disrespectful language, bullying, gossip, intimidation, or inappropriate behavior will not be tolerated.
2. Train with purpose
Come to class ready to learn, work hard, and support others. Students are expected to listen to instruction, stay focused, and give their best effort during training.
3. Keep the gym safe
Safety is a top priority. Follow all coach instructions, use control during drills and sparring, and never act recklessly. Unsafe behavior may result in injury and/or removal from the class.
4. Be a good training partner
Help your teammates grow. Train with control, respect differences in experience and size, and never try to injure or embarass another student.
5. Practice good sportsmanship
Win with humility, lose with respect, and always represent Side Quest MMA with pride. Good sportsmanship is expected in the gym, at events, and in the community.
6. Arrive ready for class
Students should arrive on time, in proper uniform or training attire, and prepared to participate. Good hygiene is required to help maintain a clean and healthy training environment.
7. Respect the facility
Take care of the gym, equipment, mats, and all training areas. Clean up after yourself and help keep the academy neat and organized.
8. Support a positive environment
Side Quest MMA is a team. Encourage others, celebrate progress, and help create an atmosphere where everyone feels welcome, challenged, and supported.
9. Parents and spectators
Parents and guests are expected to model respectful behavior as well. Coaching from the sidelines, disruptive behavior, or negative comments toward students, staff, or other families will not be allowed.
10. Consequences for misconduct
Failure to follow this code of conduct may result in a warning, removal from class, suspension, or termination of membership, depending on the severity of the behavior.
Contact and Communications
At Side Quest MMA, clear and consistent communication helps us provide the best experience for all students and families. Please review the following guidelines regarding how to stay in contact with our team.
Primary Point of Contact:
The official communication platform for all members is Group Me. Each program (Youth MMA and Adult Classes) will have a designated Group Me group. Important updates, schedule changes, announcements, and reminders will be posted in Group Me.
General Communication Guidelines:
Members and parents are responsible for using Group Me regularly for schedule changes, updates regarding participation, and important announcements. All members and parents are responsible for reading Group Me messages and staying up to date on all information within the academy. Group me should be used in a respectful and appropriate manner at all times. Keep messages relevant to the academy and avoid excessive or unrelated posts. If a coach requests information, members/parents should respond in a timely manner to help with planning.
Changes to Membership
To ensure accuracy, security, and clear communication, all membership changes must follow the guidelines below.
In-Person Requirement:
All membership changes must be made in person by the account holder at the academy. This policy applies to but is not limited to upgrading or downgrading membership plans, adding or removing a student from the account, placing a membership on hold, canceling a membership, and updating billing or account details.
Account Holder Authorization:
Only the account holder is permitted to request or make any changes. For youth members, a parent or legal guardian listed on the account must be present to make changes.
No Remote Changes:
Membership changes will not be processed via phone calls, text messages, social media, Group Me, or email. Changes will be reviewed and confirmed at the time of the in-person request. Any applicable billing adjustments will follow the academy’s billing cycle. It is the responsibility of the account holder to ensure all membership details remain accurate and up to date. Failure to complete changes in-person may result in continued billing under the current agreement.
Membership Modification Policy
All membership modifications must be completed through a designated Side Quest MMA associate. This includes, but is not limited to cancellations, holds, billing changes, upgrades, and downgrades.
Requests requiring direct involvement from the owner will incur a $25 convenience fee.
Membership Commitment
By signing up for a membership at Side Quest MMA, members agree to an initial three month commitment period. During this time, the membership cannot be canceled except under approved circumstances determined by management.
If a member chooses to cancel before completing the initial three-month term, the member agrees to pay an early termination fee equal to fifty percent (50%) of the remaining balance due under the agreement. This amount will be charged and collected immediately upon cancellation.
After the initial three month term has been completed, the membership will automatically continue on a month-to-month basis unless cancelled in accordance with Side Quest MMA cancellation policies.
Membership Pauses
Membership pauses must be requested through gym management and are subject to approval. All membership pauses must be for a minimum duration of two (2) consecutive months. Requests for pauses shorter than two months will not be permitted.
In addition, membership pauses are not available during the holiday season months of October, November, and December. Any pause requests that include these months will be denied or adjusted accordingly.
Photo and Social Media Release
By participating in classes, events, or activities at SideQuest MMA, members and guests acknowledge and agree that photos and videos may be taken during training sessions, competitions, seminars, and gym events.
SideQuest MMA reserves the right to use these photos and videos for promotional purposes, including but not limited to social media, website content, advertisements, marketing materials, and other online or printed media.
Participation in gym activities constitutes consent to the use of a member’s likeness without compensation or prior approval.
Financial Responsibility
At Side Quest MMA, we aim to provide a consistent, high-quality training environment. To support this, all memberships are enrolled in automatic billing. Tuition will be charged on a monthly, recurring basis using the payment method on file. By enrolling, members agree to maintain a valid and up-to-date payment method at all times.
The account holder is financially responsible for all charges associated with the membership. If a payment fails or is declined, the account will be flagged for follow-up by a staff member and a retry may be attempted. The member may be temporarily restricted from participating in classes until the balance is resolved. Continued failed payments may result in suspension of membership.
Monthly tuition is based on membership access, not attendance. No prorating or refunds will be given for missed classes, partial months, schedule conflicts, and/or voluntary absences. Anu changes to membership must follow the membership policy. Billing will continue as scheduled until changes are completed in person and confirmed by a staff member. Members are expected to address billing concerns directly with the academy. By enrolling at Side Quest MMA, members agree to all terms outlined in this financial policy.
